The HPA had already initially identified four points that spoke in favour of the introduction of a new intranet. It was clear that the existing software had to be partially replaced. However, it was still unclear whether a solution should be developed that uses the native SharePoint tools, or whether additional software from a third-party provider would be necessary.
Support for the currently used SharePoint 2010 will expire in October 2020.
The current information architecture could not be maintained. In addition, it was not possible to map corporate structures sufficiently and flexibly enough.
Errors, faults and adjustments could only be handled by IT with a great deal of effort.
As a result, there was an unnecessarily high level of effort for editors on the one hand and just as much for users on the other. Accordingly, it took quite a bit of effort to find relevant content precisely.
“The workshop was great! The workshop leaders at Assecor gave us tips in the right places, guided us through the new environment and were always confident. ”
With the involvement of all relevant players within the company — from representatives of disabled people to marketing — the Assecor team, together with HPA, took up the wide range of requirements for the new solution and planned the project from scratch. This was done in accordance with PRINCE2.
After comparing native SharePoint resources and 35 editorial tools, HPA decided to buy a third-party intranet tool based on the requirements.
A project team consisting of employees from the intranet partner, HPA and Assecor implemented the new intranet, including an integrated editorial tool and a contemporary design. Both the design and implementation were carried out in close cooperation with HPA.
Without the necessary know-how on the part of individual users, however good, any IT solution remains inadequate. Project planning therefore included 7 additional training courses for 103 editors and power users. These were carried out by Assecor.
In addition to the introduction of the new software solution, comprehensive tests were carried out and final fine-tuning was carried out.
Finally, the content could be cleaned up, updated and adapted to the new structure in order to finally migrate it to the new solution. The content was ultimately stored in accordance with a clear structure, which made it much easier to find it from a given situation.
