Challenge

When rolling out Office 365 with 1400 users, it is important to prepare each individual for the new software environment in response to their respective profile and level of knowledge when creating the means of communication and imparting basic knowledge. Introducing heterogeneous groups of employees to the topic of “Office 365” through various channels, in training clusters and preparing it as needed, requires a targeted and coherent communication and training concept. In addition, users have different previous technical knowledge, who need an adapted introduction. The challenge is therefore generally to pick up every Stromnetz Berlin (SNB) employee wherever they are individually located and at the same time involve as many users as possible. The key question is: How can the various requirements of employees be consistently and thoughtfully combined in a training concept?

Solution

Together with the SNB, our team has developed a concept that provides employees with concise and relevant information throughout the migration process and makes it easier for them to take their first steps in a new software environment. Assecor advised on the training and communication concept with, whilst and upon the roll-out. The training itself was also carried out by Assecor; this also actively supported project communication with all stakeholders. SNB employees were continuously provided with relevant information through a mailing and were thus kept up to date with the rollout. At the same time, Assecor, in close coordination with the customer, arranged the provision of information on key features of the rollout in such a way that awareness of the upcoming changes in the workplace and the project goals was achieved in advance of the migration. Group training on essential information regarding how to get started in a fully digitalized workplace made it easier for employees to get started with O365. The training courses were divided into various clusters, each with a manageable group of employees. Accordingly, the migration also took place at different times over a period of several months. Training trainers provided by Assecor specifically for this purpose led the individual training clusters with a total of 1400 users. This made it possible to ensure an optimal transfer of knowledge.
